When a cover letter helps

A cover letter is an opportunity to connect your evidence to the employer’s needs, especially when you are changing fields or have a less obvious background. Use it when requested or when you can add context that the resume alone does not show. Keep it focused rather than re-telling your entire resume.

A clear structure that works

Open with the position and a specific reason for applying. In the middle, give one or two concrete examples that demonstrate the most relevant skills. Close by indicating interest in the opportunity and thanking the reader. Replace generic compliments with something you genuinely know about the role or organization.

Example: Entry-level administrative assistant

Dear Hiring Team, I am applying for the Administrative Assistant role. Through a community volunteering project, I organized event schedules, maintained registration records and responded to attendee questions. That experience strengthened the attention to detail and communication skills described in your posting. I would welcome the opportunity to bring those skills to your team. Thank you for considering my application. Sincerely, [Your Name].

Why the entry-level example works

The example identifies a role and connects a real kind of activity to the requested work. It does not pretend the applicant has years of office experience. Replace the volunteering example with a true project or responsibility that matches your situation.

Example: Retail to customer success

Dear Hiring Manager, I am interested in the Customer Success Associate position. As a retail team lead, I helped customers resolve complicated purchase issues and trained teammates on clear follow-up procedures. I am excited to apply those communication and problem-solving skills in a customer success environment while continuing to learn new systems. Thank you for reviewing my application. Sincerely, [Your Name].

Personalize rather than mass-send

Change the company, position and evidence for each application. Avoid unsupported claims about company culture. Show that you understand the role through its responsibilities. If the employer requests a particular topic or word limit, follow that instruction over any general template.

Review before sending

Check the recipient, job title, grammar, attachments and contact details. Read aloud for unnatural phrases. A short, accurate letter with specific evidence is usually more useful than a long letter filled with repeated adjectives.
